Job Description
Meeting Coordination and Documentation
- Organize, schedule, and attend meetings with the President and Vice Presidents.
- Ensure agendas and meeting notes are accurately recorded during the working hours of the Eastern USA time zone.
- Serve as a live scribe during meetings, taking real-time notes.
- Leverage secure tools (including AI or company-approved solutions) to review and update meeting details.
Communication Management
- Coordinate communication between the President’s executive team, their assistants, and other key personnel within the organization.
- Serve as a liaison to ensure clear and timely information flow across the organization.
Reporting and Project Support
- Prepare, review, and organize reports and presentations.
- Ensure documents are numbered, structured, and include actionable items with clear deadlines.
- Follow up to ensure timely submission of deliverables.
- Assist with monitoring various corporate project deadlines and tracking performance metrics.
Job Requirement
Education & Qualifications
- Bachelor’s degree in a relevant field, or a comparable combination of education and experience.
Experience & Knowledge
- 3-5 years of relevant experience in an executive support or administrative role.
- Knowledge of suppliers in the automotive industry is a plus.
Skills & Competencies
- Proficiency in written and spoken English (with the ability to communicate effectively and quickly).
- High typing speed (≥100 WPM) with near-perfect accuracy (99.9%).
- Advanced proficiency in Microsoft Word, Excel, PowerPoint, and Adobe Acrobat.
- Ability to manage multiple tasks concurrently and efficiently.
- Highly organized, detail-oriented, and capable of handling a fast-paced work environment.
- Excellent written and verbal communication skills with impeccable grammar.
- Strong interpersonal skills and ability to interact with individuals at all levels of the organization.

- Professional and polished demeanor.
- Ability to manage confidential information responsibly and sign an NDA.
- Willingness to learn and complete all required post-hire training.
