Job Description
Sales Administration & Customer Support
- Prepare sales-related documents, including quotations, contracts, and sales orders.
- Maintain and update customer databases, sales records, and contract documentation.
- Support customers with order processing, product information, delivery schedules, and after-sales inquiries.
- Handle customer requests and coordinate internally to ensure timely issue resolution.
Order Management & Sales Coordination
- Monitor the order fulfillment process from receipt to delivery completion.
- Coordinate with logistics, warehouse, production, and accounting departments to ensure smooth operations.
- Track inventory availability and delivery schedules.
- Prepare sales reports, forecasts, and performance summaries for management.
Documentation & Internal Coordination
- Manage sales SOPs, templates, and document control systems.
- Coordinate invoice issuance and payment follow-ups with the accounting team.
- Support meetings, marketing events, customer visits, and other ad-hoc administrative tasks.
Job Requirement
Education & Qualifications
- Diploma or Bachelor’s degree in Business Administration, Accounting, Logistics, or related fields.
Experience & Knowledge
- 2–3 years of experience in Sales Admin, Sales Support, Customer Service, or a similar role.
- Experience in FMCG, food manufacturing, or the trading industry is preferred.
Skills & Competencies
- Proficient in Microsoft Office (Excel, Word, and PowerPoint).
- Good English communication skills; Japanese proficiency is a plus.
- Strong communication, coordination, and interpersonal skills.
- Well-organized, detail-oriented, and capable of managing multiple tasks.
Personality & Attitude
- Customer-focused with a strong sense of responsibility and ownership.
- Proactive, positive, and willing to learn.
- Good problem-solving skills and ability to work with cross-functional teams.
