Job Description

C&B – Timekeeping & Payroll

  • Manage and consolidate monthly timekeeping data (working hours, OT, leave, holidays).
  • Check and reconcile timekeeping data with relevant departments.
  • Calculate monthly salaries for all employees, including allowances, OT, bonuses/penalties, and deductions.
  • Prepare detailed and summary payroll sheets; coordinate with Finance for salary payment.
  • Answer employee inquiries related to timekeeping and payroll.

Personal Income Tax (PIT)

  • Register PIT codes for employees and manage dependent registrations.
  • Calculate monthly/quarterly PIT.
  • Prepare periodic PIT declarations and finalize year-end PIT settlement.
  • Monitor and store PIT records and coordinate with tax consultants/authorities when necessary.

HR Records Management

  • Manage HR files including labor contracts, contract appendices, and salary decisions.
  • Store and update personnel records (both hard and soft copies).
  • Prepare documents for internal audits or inspections.

General Affairs (Admin)

  • Perform general office administrative tasks.
  • Manage office supplies, consumables, and related administrative costs.
  • Book and prepare meeting rooms; support in welcoming guests and partners.
  • Arrange working schedules as assigned.
  • Coordinate company car bookings; track usage history and vehicle costs.

Job Requirement

Education & Qualifications

  • College or University degree in HR Management, Accounting, Finance, Administration, or related fields.

Experience & Knowledge

  • Minimum 3 years of experience in C&B/Payroll or General Affairs (GA).
  • Practical experience in timekeeping, payroll calculation, and PIT.
  • Knowledge of HR record management processes and labor contracts.

Skills & Competencies

  • Proficient in Excel and MS Office tools (Word, Email).
  • Careful, accurate, and highly responsible, especially with data and numbers.
  • Good organizational and coordination skills.
  • Foreign language is not required but is a plus.

Personality & Attitude

  • Female, aged 25-30, with a presentable appearance.
  • Polite communication and professional demeanor suitable for a Japanese business environment.
