Job Description
Administration Duties
- Handle work permits and residence cards for expatriates.
- Manage flight, hotel, and car bookings for regional member visits and the Managing Director.
- Maintain updated information on hotel rates and share changes with all employees.
- Manage vendor contracts, payments, and immigration processes.
- Monitor and purchase office stationeries and pantry items to maintain sufficient stock.
- Forecast annual operation budgets for Business Planning (BP) and Forecast (FC).
- Support contract management via DocuSign and handle internal reporting.
Facility Management & Office Maintenance
- Manage and maintain office facilities, liaising with landlords, internal staff, and vendors regarding maintenance issues.
- Prepare documentation for the maintenance of office equipment, including copiers, vending machines, and pest control services.
- Ensure office premises, equipment, and facilities are properly maintained.
Legal & Compliance Support
- Support the RHQ Legal team in document preparation and follow-up.
- Maintain the safety of company legal documents.
- Follow up on compliance activity plans and complete compliance reports as required by RHQ.
Job Requirement
Education & Qualifications
- Bachelor's degree in Business Administration or a similar discipline from a recognized college or university.
Experience & Knowledge
- Minimum 3 years of working experience in a similar position.
- Experience in supporting or managing the coordination and execution of Annual Operating Plans, as well as monthly and quarterly forecasting.
- Familiarity with procurement processes, company legal registration issues, and compliance commitments.
Skills & Competencies
- Fluent communication skills, both verbal and written.
- Ability to work under pressure and complete multi-tasks within stipulated timelines.
- Analytical mindset with attention to detail and a high degree of accuracy.
- Creative, fast learner with strong problem-solving skills.
- Computer literate (MS Word, Excel, PowerPoint).
Personality & Attitude
- Honest, discreet, and possesses a high level of integrity.
- Ability to work independently as well as collaborate effectively within teams.
