Job Description
General Affairs & Administration System Setup
- Build administrative procedures, regulations, and management systems for the General Affairs function.
- Establish processes for asset management, document control, record filing, and daily administrative operations.
- Coordinate with departments to resolve issues arising during factory setup and early-stage operations.
Administrative Procedures, Compliance & External Coordination
- Follow up administrative procedures, permits, and documentation related to company and factory operations.
- Work with government authorities, industrial park management, and relevant external parties.
- Prepare documents for inspections, audits, and compliance-related requirements.
Facilities, Vendors & Budget Management
- Manage office facilities, company assets, equipment, and general infrastructure.
- Coordinate with contractors and service providers such as security, cleaning, canteen, and shuttle services.
- Select, manage, and evaluate vendors; monitor costs and manage the General Affairs budget.
- Support infrastructure, office preparation, and necessary conditions before factory operation.
Job Requirement
Education & Experience
- Bachelor’s degree or above in Business Administration, Human Resources Management, Administration, or related fields.
- Minimum 5 years of experience in General Affairs or Administration in trading or manufacturing companies; experience in new factory/company setup or FDI companies is preferred.
Skills & Competencies
- Strong knowledge of administrative operations, general affairs management, facility management, document control, and vendor management.
- Ability to build administrative systems, procedures, and workflows from the initial setup stage.
- Good coordination skills when working with internal departments, contractors, government authorities, and industrial park management.
- Good budget tracking, cost control, problem-solving, and execution follow-up skills.
Language / Other Requirements
- Good Chinese proficiency across four skills.
- Ability to report to Chinese Director and Vietnamese Group HR/Admin management.
- Ability to work during a factory setup phase and follow up multiple administrative tasks to ensure progress.
Personality & Attitude
- Proactive, responsible, and hands-on.
- Strong coordination mindset with good follow-up capability.
- Detail-oriented and compliance-focused.
- Able to work under pressure during company and factory setup stages.
